Parents, we still need 3 more volunteers to assist with making our Lower Gwynedd Girls Softball program a success.  (We already have Parents/Volunteers as Field Improvement Coordinator, Uniform/Equipment Coordinator, Communications Coordinator, Commissioner, Pitching Clinic Coordinator, Coaches, Assistant Coaches and Rules Advisor) Please consider volunteering to lead one of these three areas:
 
FIELD MAINTENANCE COORDINATOR
LOWER GWYNEDD GIRLS SOFTBALL

 
 
Field Maintenance-Pre Season- Assess field and coordinate work with Chris Kolb at Lower Gwynedd Township.  
    •     Consider need for dirt to be added, removal of lip between infield and outfield grass.
 
 
Field Maintenance-Practice season, game season and Tournament season-Monitor field conditions and address with Field Maintenance team of Chris Kolb.
    •     Chris Kolb is responsible for:
    ◦     Proper Drainage
    ◦     Dragging Infield at least once per week.
    ◦     Grass cutting, infield edging and weed removal from field and dugouts.
    ◦     Weed control
    •     Field Maintenance (Parents willing to help you)
    ◦     Coordinate field prep day before the start of the season.
    ◦     Rake field after heavy storms. (Teams will handle pre-game raking and lining.)
    ◦     Ensure both pitching rubbers and bases are in good shape.  Periodically level pitchers rubbers.
    ◦     Maintain equipment
    ▪     Pitching machine and generator
    ▪     Rakes, filed liners
    ◦     Obtain lime from Field of Dreams and keep shed stocked during the season
  
 
 
 
SNACK STAND COORDINATOR(S)
Need team of 2-3 people
LOWER GWYNEDD GIRLS SOFTBALL

 
Coordinate snack purchases, stock and cash
    •     Determine what to sell and what price
    •     Prepare price list.  About 25% mark up on candy and big mark up on water seems to allow for money to pay workers and still break even.
    •     Purchase items to be sold (LGLL will reimburse initial stock purchase.  Need to pay back at end of season.)
    •     Use cash from sales to replenish stock during the season.  Track sales and inventory purchases.
    •     Need ice for drinks for each game.  Sunoco has for $2 per bag.  Two bags, added to the drink cooler in the shed 30 minutes before the game works.  (Water from melted ice needs to be refreshed every so often.)
    •     Excess inventory at end of season could be sold to LGLL.  (In 2007, little inventory was left.)
 
Coordinate snack stand workers schedule
    •     Determine who should work the Snack Shack
    •     Obtain & train workers
    •     Schedule workers
    •     Reschedule workers for rain-outs

(We currently have 5 volunteer umpires and a few paid umpires)

 
Determine how games will be umpired
    •     Determine who will umpire games.  Options include:
    ◦     Parents
    ◦     Parents from other teams in the league
    ◦     Paid umpires
 
Select and train
    •     Encourage participation in Hatboro's free umpires training clinics.
    •     Leverage Registration & Communication Coordinator to communicate the need for umpires.
    •     Briefly cover strike zone
    •     Hand out rules
 
Schedule Umpires for Major and Minor Home Games (18 games)

FANTASTIC!           GREAT SEASON GIRLS!            WELL DONE!
 
Our two Minor League Girls Teams placed First and Third among all teams in the Plymouth/Conshohocken/Lower Gwynedd Softball League!   Congrats to the Warriors on their first place finish! Our Rookies Team played well and out hit everyone! Congratulations!
 
 
This note provides you a brief update on our program.
 
TOURNAMENT TEAM
We are in the midst of finalizing a Minor League tournament team that will play games throughout the summer. We’re contacting other local programs to schedule games. We have chosen not to participate in the District program this year but we are committed to participating in the Districts next year.
 
PARENTS’ COMMITTEE
We have established a Parents’ Committee. Our committee is comprised of Parents committed to the success of the program and willing to work together to ensure that success. We have 19 members. We met last night and established our plans.
 
We have 7 Coordinators with each Coordinator responsible for an activity such as: Registration & Communications, Uniforms & Equipment, Field Maintenance, Umpires, Snack Stand, etc. Members of the Committee who are not Coordinators form a pool of resources ready to assist the Coordinators on an as needed basis.
 
2009 SEASON
In 2008, we had many girls register with the wrong Township and/or register late.   As a result, we had too many girls on each team and we were not able to place all girls on the waiting lists onto teams. Our Registration & Communications Coordinator has developed plans to address this and, as a result, we expect to have about  5 teams next years. We think we’ll have 2 Rookie Teams, 2 Minor Teams and 1 Major Team.   We can always use help coaching these teams and we’ll be looking for two new coaches for our Rookies Teams.
 
In 2009, we expect to have everything ready well in advance of the season.   Some things we’re already working on are: the field, the quality and independence of our umpires, communication about how our girls & teams are doing throughout the season, and a fall parent’s activity/fundraiser.
